Legal Document Specialist – Real Estate, Commercial Property

JOB PURPOSE
To work as a team in the provision of document production support to legal colleagues within the Real Estate, Commercial Property practice area. To also assist the Real Estate practice area, whilst ensuring in addition, the provision of an efficient and quality service to Brodies external clients.
CORE TASKS
- Type and amend all client correspondence and legal documents (often confidential) to a high level and in compliance with Brodies preferred document styling
- Proofread documents to ensure accuracy, formatting and Brodies styling are maintained
- Responsible for ensuring all Bighand work is complete within required timescales
- Responsible for ensuring all tasks emailed to the LDS inbox are added to the Bighand Q
- Responsible for typing up any PowerPoint presentations as and when required using Brodies formats
- Mail Merge
- Responsible for typing of standard letters, notes, time records, emails etc.
- Ensure that full use is made of available applications to enhance quality and efficiency of work produced
- Build knowledge of and ensure adheres to practice area protocols and procedures in completion of work
- Save all documents to DMS in the relevant folders
- File documents in appropriate location both electronically
- Participates in rota for lunchtime cover and provides assistance during holidays/absence
- Collate legal documents for Docusigning and arranging for signing by the legal colleague and ensuring saved electronically
- Assist Legal Document Specialists within other Practice Areas to ensure work complete within required timescales
- Undertake ad hoc administrative tasks when necessary under the direction of the Secretarial Engagement Manager/Senior Executive Assistant
- Be aware of Brodies’ information security policies, and protect information assets from unauthorised access, disclosure, modification, destruction or interference at all times
PERSON SPECIFICATION
- The successful candidate should have experience in working in a busy Real Estate practice area
- The successful candidate will be required to be flexible regarding working hours as from time to time it will be necessary to complete work during lunchtime or after 5pm
- This position is demanding so the successful candidate should be used to working under pressure, often with tight deadlines
- Highly motivated and able to work on own initiative
- A team player with a can do attitude
- Confident – able to deal with people at all levels.
- Excellent communication skills both written and verbal
- Excellent attention to detail and accuracy in production of all correspondence, documents, etc
- Adopts a flexible and proactive approach to work duties, able to pick up work and assist wherever needed
- Organises and prioritises time effectively to achieve deadlines
- Presents a professional image to clients and other external organisations at all times
- Working practices and Legal Document Specialist allocations within the team will change from time to time and the successful candidate should have an open and flexible attitude to change and a willingness to train within other legal teams
SKILLS
- Fast accurate typist – 60 wpm
- Accurate and competent in documentation production including formatting and presentation
- IT literate
- Proficient in the use of Microsoft applications:
- Word – track changes/mail merge
- Outlook
- Excel
- PowerPoint (preferred but not essential)
- BigHand
- Willingness to enhance IT literacy through training
- Experience of DMS (preferred but not essential)
