Job Overview:
We are looking for an exceptional Executive Assistant (EA) to provide high-level administrative and executive support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), Chief Scientific Officer (CSO) and Chief Commercial Officer (CCO) ensuring seamless leadership coordination and communication, enabling them to focus on driving the company’s vision and growth
Key Responsibilities:
Manage complex calendars, scheduling meetings across multiple time zones, and prioritising executive availability
Coordinate and prepare materials e.g. for meetings, presentations, discussions, etc
Proactively manage correspondence, flagging critical items and ensuring timely responses
Take minutes and follow up on action items from key meetings
Plan and coordinate travel arrangements, ensuring efficiency and cost-effectiveness
Support executives with administrative tasks, project coordination, and ad hoc initiatives as needed
Assist in drafting reports, communications, and presentations for executive use
Maintain confidentiality and professionalism while handling sensitive company information
Support the Executive with the planning of company-wide meetings, team events, and internal communications
Coordinate meeting logistics, catering, travel, and accommodation for executive guests, ensuring a seamless and professional experience
Manage the office space ensuring it runs smoothly, including managing supplies, meeting space readiness, and liaising with facilities services as needed
Support Executive with recruitment efforts, including interview scheduling and onboarding new hires
Help maintain a positive and organised work environment, even in a fast-paced and evolving startup setting
Qualifications and Skills:
Proven experience as an Executive Assistant or similar role supporting senior executives
Strong organisational skills with the ability to prioritise multiple competing tasks in a fast-paced environment
Excellent written and verbal communication skills, with a high level of professionalism
Proficiency in Microsoft 365 (Word, Outlook, Excel, PowerPoint, MS Teams)
High attention to detail and ability to anticipate needs before they arise
Ability to handle confidential information with discretion and integrity
Experience coordinating across multiple departments, with a proactive and problem-solving mindset

What we offer:
£35k- 45k per annum depending on experience, and EMI options after successful completion of the first 6 months
34 days of annual leave per year (25 flexible + 9 fixed annual leave days which can either be the Scottish Bank Holidays or aligned to the school term breaks in your council area of residence.)
Compressed Hours (35 hr/week)
