Job Overview

Job purpose

Main duties and responsibilities

Day to day administrative tasks to ensure smooth service delivery to fee earners, based in Printroom or out on floor.

  • Order and maintain stationery supplies, making sure that you always keep enough stock to meet the needs of all staff in the office
  • Provide cover for hospitality and reception as required
  • Assist with moving office furniture as may be required from time to time
  • Supporting of room set ups as and when required in communication with the facilities manager/Printroom supervisor/FOH to ensure all aspects are ready and available when needed
  • Deliver items once retrieved from storage to internal clients
  • Collect items for archiving from internal clients and process ready for records team to process for collection
  • Prepare documents and files for scanning.
  • Presentation/finishing services
  • Managing the print room inbox and ensure all incoming items/jobs are allocated and communicated within a timely manner.
  • Maintenance and repair of MFD’s
  • Assisting IT in ensuring that all meeting AV systems are operating correctly and assisting to rectify any issues
  • Dealing with company secretarial administration task, to ensure co sec mail is processed and all other duties received into inbox are dealt with appropriately

Business Administration Level 6 SVQ Modern Apprenticeship

Working as part of the Office Admin Support team for your office.

Support legal divisions with paper-based admin tasks so they can carry out

their roles in providing legal services to clients.

Skills and expertise

  • Ability to work on own initiative and in a proactive manner,
  • Excellent administration skills,
  • High level attention to detail,
  • Prioritise tasks and meet deadlines,
  • Knowledge of Microsoft office applications. Training will be provided on all other applications used,
  • Team player,
  • Present a professional image and demonstrates excellent customer service skills,
  • Knowledge and understanding of the firm’s processes,
  • Comply with all in-house policies and procedures.
