Role Overview


We are seeking a highly organised and detail-driven Sales Support Coordinator in Edinburgh (EH28 8PJ) to enable the sales engine to run smoothly across both internal and external sales functions. This role is central to maintaining operational excellence, protecting the customer experience, and ensuring internal efficiency as the business scales.


Working behind the scenes but with significant commercial impact, the Sales Support Coordinator ensures that orders, pricing, customer documentation, and CRM data are processed accurately and efficiently. The role removes friction from the sales journey, allowing the wider sales team to focus on customer development and revenue generation.


This is an internally focused, precision-led role that is critical to both service quality and business growth. It is an office-based role working 37½ hours per week, working Monday to Friday, office hours (to be arranged).


Key Responsibilities


Sales Process Support and Order Accuracy


  • Manage end-to-end order processing, ensuring all customer orders are entered accurately and within required timelines.
  • Validate pricing, product specifications, delivery details and commercial terms before order release.
  • Support both external and internal sales teams with administrative and operational sales activities.
  • Ensure all quotations, confirmations, and order documentation are accurate and professionally issued.


Pricing, Quotes and Documentation


  • Prepare and maintain accurate customer quotations, pricing schedules and supporting commercial documentation.
  • Work closely with the sales team to ensure pricing consistency, margin protection and approval workflows are followed.
  • Maintain version control and document integrity across customer files and internal systems.


CRM Hygiene and Data Integrity


  • Own CRM data accuracy, ensuring customer records, pipeline stages, pricing data and account information remain current and reliable.
  • Monitor system hygiene and proactively resolve data discrepancies.
  • Produce reports and internal sales data to support decision-making and forecasting.


Customer Follow-Up and Issue Resolution


  • Act as a key support contact for customer follow-up, order queries and dispute resolution.
  • Liaise with internal teams including operations, logistics and finance to resolve issues efficiently.
  • Ensure customer concerns are handled calmly, professionally and with clear ownership.


Process Improvement and Efficiency


  • Identify recurring friction points within the sales process and recommend practical improvements.
  • Support the development of scalable systems, workflows and controls.
  • Contribute to continuous improvement initiatives that enhance customer experience and internal productivity.
